EZ Pool Biller respects your privacy. This Privacy Policy explains how we collect, use, and share information through our mobile application available on the Apple App Store and Google Play Store.
 
 
2. Information We Collect
We may collect the following categories of data:
  • Personal Identifiers: Name, email address, phone number, or account credentials.
  • Device Information: IP address, device model, operating system version, and unique device identifiers.
  • Usage Data: Statistics on how you interact with the app, including features used and crash reports.
  • Collected Information: Precise location, camera/photo access data collected.
Data Usage Summary for Privacy Labels:
  • Linked to You: Login email address, phone number, device identifiers.
  • Not Linked to You: Anonymous usage statistics and crash reports collected for internal analysis.
 
 

3. How We Use Your Data

We use the collected data (which includes images with time/date stamps, information you enter into the app, and app usage/analytics data) to:

  • Enable the EZ Pool Biller App to perform its functions: We use the images, time/date stamps, and entered information to facilitate the core service of sending this data to the secure, internal EZ Pool Biller software system, which uses secure servers.

  • Provide and maintain app functionality: This includes using device identifiers and basic app activity data to ensure the app works correctly and to diagnose technical issues.

  • Internal Analysis and Improvement: We perform our own internal analysis of how the app is used to improve the user interface and overall experience. We do not use third-party analytics providers or SDKs (such as Google Analytics or Firebase) for this purpose. All usage analysis is conducted by our internal team using the data you provide to better understand app performance and feature utility.

  • Legal Compliance: We may use or disclose your information as required by law, such as to comply with a subpoena, legal proceedings, or similar legal process, or when we believe in good faith that disclosure is necessary to protect our rights or the safety of our users.

  • Security and Protection: We use collected data to verify accounts, detect fraudulent activity, and maintain a secure environment for all users. This includes the use of industry-standard encryption for data in transit to our servers.

4. Children’s Privacy
Not Directed to Children: The EZ Pool Biller App is designed for professional use by adults and is not intended for or directed at children under the age of 18. We do not knowingly collect or solicit personal information from children.
 
Age Verification and Compliance: In accordance with 2026 app store accountability laws and Google Play policies, we rely on platform-level age signals provided by the Google Play Store to determine a user’s age category. If we obtain actual knowledge that we have collected personal information from a child under the age of 13 (or under 18 in relevant jurisdictions like Texas, Utah, and Louisiana) without verifiable parental consent, we will take immediate steps to delete that information from our servers.
 
Parental Rights: If you are a parent or guardian and believe your child has provided us with personal information without your consent, please contact us at admin@ezpoolbiller.com. You have the right to review the data collected and request its permanent deletion.
 
 
5. Data Retention, Deletion, and Ownership
We distinguish between the personal information used to manage your account and the business data submitted through the app’s functions.
  • Business Data Ownership: All data submitted through the EZ Pool Biller App—including pool-related images, time/date stamps, and billing entries—is considered Business Content. This information is collected solely for the professional purpose of pool service documentation and belongs to the account holder (the company) once submitted to the EZ Pool Biller system. This data is maintained as a permanent business record to ensure billing accuracy and service history.
  • Personal Account Data: We only collect a limited amount of personal information (such as your login email and device identifiers) to manage your access and provide app functionality.
  • Data Deletion Requests: In compliance with 2026 mobile platform standards and privacy regulations, you may request the deletion of your account and Personal Account Data at any time. You can initiate the deletion of your entire account record and all associated personal data directly from within the app. When you delete your account using the in-app ‘Delete Account’ option, we will permanently remove your personal identifiers and associated personal information from our active systems. Our app currently does not support ‘Sign in with Apple.’ If this feature is added in the future, we will update this policy accordingly.
    • In-App: Use the “Delete Account” button in the Settings menu.
    • External: Visit our Data Deletion Request Page or email support@ezpoolbiller.com.
  • Retention of Business Records: When an account is deleted, we will remove your personal identifiers from our active user databases. However, please note that Business Content (images and billing logs) may be retained in our secure archives as necessary for legal, auditing, or historical record-keeping purposes.
6. Data Sharing and Disclosure
We do not sell your personal data to third parties. We only share information in the following limited circumstances:
  • Internal Systems and Service Providers: Your data (images, time/date stamps, and billing entries) is transmitted to and stored on the secure EZ Pool Biller software system. This is done solely to provide the core services of the app. We may use trusted service providers for hosting and maintaining our servers; these providers are contractually obligated to use your data only as instructed by us and to maintain strict security standards.
  • No Third-Party Analytics or Advertising: We do not share your data with third-party analytics providers (such as Google Analytics or Firebase) or advertising networks. All analysis is conducted internally.
  • Legal Requirements: We may disclose your information if required to do so by law or in the good faith belief that such action is necessary to comply with legal obligations, protect our rights, or ensure the safety of our users.
  • Business Transfers: In the event of a merger, acquisition, or sale of all or a portion of our assets, your data may be transferred to the successor entity, subject to the terms of this Privacy Policy.
  • We do not track users across apps or websites owned by other companies for advertising purposes, nor do we share personal data with third parties for tracking or advertising.
7. Your Privacy Rights
In accordance with 2026 privacy regulations, you have specific rights regarding the personal information we maintain:
  • Right to Know and Access: You may request a copy of the personal data we have collected about you, such as your account profile and login history.
  • Right to Correct: You have the right to request that we correct any inaccurate personal information in your account settings.
  • Right to Delete: You may request the deletion of your personal account data at any time through the in-app “Delete Account” button or by contacting us directly. (Note: As described in Section 5, this does not apply to business records already submitted to the EZ Pool Biller system).
  • Right to Opt-Out of Tracking: Because we do not use third-party analytics or advertising SDKs, we do not sell or share your data for behavioral tracking. However, we honor all “Do Not Track” and Global Privacy Control (GPC) signals sent by your device.
  • Right to Non-Discrimination: We will not deny you services or provide a different quality of service for exercising any of these rights.
How to Exercise Your Rights: To submit a request, please contact our Privacy Coordinator at admin@ezpoolbiller.com. We will respond to all verified requests within 30 days.
 
 
8. Data Security
We are committed to protecting the security of your information. We implement a variety of technical and organizational measures designed to protect your data from unauthorized access, alteration, or disclosure:
  • Encryption: All data, including images and account information, is encrypted during transmission using industry-standard Transport Layer Security (TLS).
  • Access Control: Access to your data is strictly limited to authorized personnel who require it to maintain the EZ Pool Biller system and provide user support.
  • Storage Safety: Data is stored on secure, monitored servers with robust physical and digital security protocols.
 
9. Data Retention
We follow the principle of data minimization and only retain your data for as long as necessary to fulfill the purposes outlined in this policy:
  • Account Data: Personal account information (e.g., email, login credentials) is retained for as long as your account remains active.
  • Business Content: Submitted business records, such as pool images and billing entries, are retained as permanent documentation for your business use within the EZ Pool Biller software system.
  • Deletion: If you request account deletion, we will remove your personal identifiers from our active user databases within 30 days. We may retain certain information as required by law (e.g., for tax or audit purposes) or for legitimate security and fraud prevention reasons.
